44,000 € per year

Your mission

We are seeking an experienced Education Events Manager to join our Education unit. In this role, you will plan and deliver UEG’s face-to-face educational courses in Vienna and other European cities, taking responsibility from initial planning through to on-site delivery.
You will initially be onboarded into UEG’s existing portfolio of face-to-face courses, such as the Summer School and Masterclass, and gradually take on independent responsibility for their management, including logistics and administration. You will work closely with the Education team and external course directors, coordinating faculty and participants from across Europe and beyond.

Responsibilities
  • Plan and run UEG’s face-to-face courses, from initial planning and budgeting through to on-site delivery and follow-up.
  • Keep track of timelines and budgets, identify potential issues early and meet deadlines.
  • Work with course directors on the programme and advise them on what works in practice, e.g. group sizes, interactive formats and room set-ups.
  • Find, negotiate with and manage suppliers such as hotels, venues, AV companies, caterers and social programme providers.
  • Handle communication and logistics for course directors and faculty, including invitations, reminders, briefings, accommodation and travel reimbursements.
  • Manage participants in UEG’s application system, including registration, selection, payments and communication.
  • Work with other UEG teams on sponsoring, marketing and promotion of the courses.
  • Be the go-to person on site and solve problems quickly and calmly.
  • Prepare statistics and reports after each course and use them to improve future courses and processes.

Your profile

Hard Skills
  • 3 years’ experience in running events from start to finish, ideally in a medical, scientific or non-profit setting.
  • Good project management skills: you monitor timelines and budgets and priorities across several projects at once.
  • Experience negotiating with suppliers and managing contracts.
  • A strong understanding of what works in practice at events, and the confidence to advise senior academics.
  • A careful and structured way of working, with a strong eye for detail.
  • Business-level English (spoken and written); German is an advantage.
  • Good MS Office skills (Word, Excel, PowerPoint, Outlook).
Soft Skills
  • You are hands-on and good at getting things done.
  • You stay calm under pressure and find solutions when things don’t go to plan.
  • You take initiative and make decisions independently.
  • You enjoy working as part of a team.
  • Good communication skills and an open, sociable personality.
  • You are willing to travel and occasionally work evenings and weekends.

Why us?

We offer
  • Efficient onboarding into a well-coordinated, international team and an open and appreciative working atmosphere and meaningful work.
  • The opportunity to incorporate your skills within an innovative scientific organisation and to further develop your professional abilities.
  • A family-friendly, flexible work environment, home office as well as a modern and easily accessible office.
  • Social benefits including coverage of the “Wiener Linien” annual ticket, food vouchers, childcare support subsidy and others.
  • Company Pension Plan.
  • A salary above the minimum stipulated by the Collective Agreement for "Werbung und Marktkommunikation Wien", starting at EUR 44.000 gross per year based on a 37.5-hour working week. The final salary will be agreed upon depending on qualifications and experience.
